This position is a responsible administrative position dealing with coordination of contracts for outside clients who wish to organize various rental events and programs through the Community and Leisure Services Division. An employee in this position is responsible for booking and coordination of contracts for the Columbia County Amphitheater & Evans Towne Center Park as well as pavilions & gazebos within these two locations. This position is responsible for identifying, cultivating, soliciting and stewarding individual, corporate and foundation rental prospects to support Community Events. This person must be a self-motivated conscientious and organized; must have budgetary knowledge. This person must also have experience in public relations and program skills. An employee in this class is also responsible for other work assignments given to them by the Community Events Manager. This person must exercise independent judgment and ingenuity in accomplishing rental objectives and interpreting the needs and desires of clients.
Work is typically performed sitting, standing, walking, stooping, bending or crouching and requires frequent lifting of light objects and occasional lifting of heavy objects. Employee must be able to climb ladders, distinguish among shades of color, and exhibit manual dexterity.
Work is performed in an office or stock room and outside where the employee is exposed to cold, heat and inclement weather. Employee is exposed to dirt, dust, and noise.
Contacts are typically with co-workers in recreation, other county departments, community organizations and civic clubs, part-time and volunteer helpers and the general public.
Duties may require evening, weekend and holiday work due to scheduling special event activities.
Bachelor’s degree required in Parks/Recreation/Event Management, Marketing or Public Relations or a related field, and a minimum of five years of related experience preferred. Experience sufficient to thoroughly understand the work of subordinate positions to be able to answer questions and resolve problems, usually associated with one to five years of experience or service. Possession of or the ability to readily obtain a valid driver’s license.
NATURE AND SCOPE
Successful performance in this position helps to assure the delivery of safe and enjoyable special rental event activities within the county.
Guidelines consist of the Policies and Procedures of the county and of the Community & Leisure Services Division as well as instructions from Community Events Manager. Most guidelines are clear and specific, but the employee does have to use interpretation in relation to special events.
The work of this position is to facilitate rental agreements and coordinating paperwork for rental events occurring at Columbia County Amphitheater, Evans Towne Center Park and pavilions and gazebos within these two areas. This position will oversee the booking process, collect all essential paperwork and act as on-site liaison for Columbia County Community Events during each rental activities within venues listed above. The work includes many unrelated tasks and the work is made complex by the number and variety of things to be done; by the long and irregular hours; and by the demand for services that are increasing more rapidly than the resources.
Contacts are typically to exchange information that supports provision of special rental event services, coordinate rental needs with the recreation department, and relay information internally to enable the county to assist in promotion of rental events.
Fields initial inquiries, facilitates contracts, gathers payment and additional paperwork, and supervises on-site during various rental events.
Oversees set up, load in, and break down of rental events.
Clearly communicates needs for additional personnel and/or resources to various county departments.
Creates advertisements or other promotional material as it pertains to rental events.
Attends schools, workshops and related meetings and seminars as required.
Maintains inventories of program equipment and supplies and requests for additional needs.
Maintains a complete record system of activities conducted, participation and any accident reports.
Performs other related duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES
Knowledge of the Principles of Special Event Coordination.
Knowledge of First Aid and Safety Regulations.
Skill in written and oral communication.
Proficient in Microsoft programs, Adobe InDesign and Photoshop
Skill in motivating and directing individuals
Skill in the operation of computer, copier, van, public address system and other related equipment.
DESIRABLE TRAINING AND EXPERIENCE
