POSITION SUMMARY
This position provides administrative and clerical support to the offices of the Board of Commissioners and the County Administrator to ensure the efficient and effective administration of those offices. The incumbent interacts with the Board of Commissioners, elected officials, division directors, department heads, employees, County Attorney and the general public.

The County Clerk assigns work in terms of general instructions and reviews the nature and priority of final results. Tasks and responsibilities of the position are performed with considerable independence and judgment in deciding how to accomplish goals. Strong organizational, customer service, clerical and computer skills are required to fulfill the functions of the position.

The incumbent is required to obtain Deputy Clerk training as mandated by the State of Georgia to fulfill the requirements of the position. The incumbent will serve as Deputy Clerk in the absence of the County Clerk.  Attendance at some County meetings after normal working hours may be required.

Work is performed in an office environment and may require bending, stooping, walking, stretching and lifting of objects weighing up to 25 pounds.

Graduation from a standard high school required; an associate degree from a technical school or college with course work in business administration is preferred. Three to five years previous experience relative to the position is preferred. Excellent interpersonal skills and computer experience is required. Ability to serve as a State of Georgia Deputy Clerk is required. Attendance at some County meetings after normal working hours may be required and a valid driver’s license is required.

PRINCIPAL ACCOUNTABILITIES
Performs as the primary receptionist for the County Administrator and Commission Office by opening and distributing incoming mail and phone messages to Commissioners and staff.

Provides administrative support for the Board of Commissioners and County Administrator in the absence of the Executive Assistant and/or County Clerk.

Types, transcribes and follows through with correspondence, memoranda, and reports requested by the Commissioners, County Administrator and the Deputy County Administrators.

Compiles and prepares Commission meeting agenda and Commission notebooks in the absence of the County Clerk, and assumes the responsibilities of Commission Office administrative support.

Prepares proclamations, certificates of recognition and resolutions, as needed.

Provides assistance as needed to departments and staff regarding agenda items and other topics.

Maintains County Seal, serves as a Notary Public for Commissioners office.

Processes County Attorney invoices for payment.

Orders and maintains inventory of office supplies for the Commissioners and County Administrator.

Processes and assists with requests for public information.

Performs other related duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES
Knowledge of County Government organization and State of Georgia Municipal Code.

Knowledge of public administration office procedures and requirements.

Skill in minor bookkeeping, file management, word processing, computer programs, typewriter, calculator, transcribing equipment, recording equipment, computer equipment, and telephone.

Skill in written and oral communication is required.

Skill in working with elected officials, employees and the general public.

Skill in attention to detail.

Ability to diffuse difficult situations and irate customers.

Ability to use various computer programs to learn new software programs.

Ability to work in a fast paced environment.

Ability to remain flexible to changes in work environment.

Ability to attend Deputy Clerk training as required.
