The incumbent in this position serves as the first point of contact for visitors to the Department. This position is responsible for performing a variety of customer service and clerical functions in the Roads & Bridges business office. The position reports to and provides assistance to the Office Supervisor.
Contacts are typically with co-workers, vendors, County departments and the general public.
Work is performed in an office environment and may require bending, stooping, walking, stretching and lifting of objects weighing up to 25 pounds.
Possession of or ability to readily obtain a valid driver's license issued for the class of vehicle or equipment operated is required.
Receives phone calls and messages; determines if the department is responsible for the service request or complaint; assists in resolution of complaint or refers to the appropriate county office; conducts follow-up if necessary.
Manages work order system used at Roads & Bridges, includes input of work orders, monitor and track the status of complaints and work orders to ensure proper resolution and generate reports as needed.
Performs a more responsible role dealing with customer service issues based on experience, abilities and skill allowing for more independent judgment.
Dispatches and receives messages concerning the work of the department personnel.
Receives daily information from mowing contractor and maintains a log book on mowing crew progress and mowing complaints.
Contacts Utility Protection Center (UPC) and maintains records on utilities located for the department.
Updates the UPC response manager with locates involving traffic signal locations.
Reports utility damages to respective utility company and logs reports.
Reconciles Fuelman Reports.
Assists with preparing employee timesheets and payroll entry.
Orders and maintains office supply inventory and equipment inventory records.
Performs miscellaneous clerical tasks and filing.
Responsible for relaying complaints from the 911 Operation Center at the Sheriff’s Office to Roads and Bridges during County emergencies.
Provides assistance during supervisor absences.
Performs other related duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES
Knowledge of modern clerical techniques.
Knowledge of county policies and procedures and policies, procedures, and activities of the Roads & Bridges Department.
Skills in customer service to include negotiating and handling difficult or irate telephone customers.
Skill in operating a two-way radio.
Skill in using a computer, typewriter, calculator, copy machine and other modern office machinery.
Skill in oral and written communication.
Ability to categorize and file complaints and customer information from the general public.
Ability to remain flexible to task changes required in a fast paced work environment.
DESIRABLE TRAINING AND EXPERIENCE
Ability to read, write and perform mathematical calculations at a level commonly associated with the completion of high school or equivalent. Sufficient experience to understand the basic principles relevant to the major duties of the position usually associated with the completion of an apprenticeship/internship or having a similar position for one to two years. Possession of or ability to readily obtain a valid driver's license issued for the class of vehicle or equipment operated.
